Technical Planning Coordinator (Mechanical)

We are looking to recruit a Technical Planning Coordinator to join our clients team on a permanent basis. The role is site based in East Yorkshire.

Overview

To lead the Clients’ Maintenance Process (Planning) and deliver planned work to enable scheduling of 100% of working hours available on a weekly basis, also driving a 6-week work execution plan and to support upcoming Interventions & TARs. Ensures that Work Orders are fully specified, within the timescale derived by VMP Priority Matrix, with individual steps identified with Risk Assessment Method Statements (RAMS) fully prepared and all tools, equipment and spares required to complete the task available to enable safe and on-time execution.


Responsibilities

  • Review work orders for completeness and returns work orders to gatekeeper if incomplete or there is insufficient detail to progress.
  • Review work order for adequate definition of required solution, liaise with the Technical Team as required if adequate further technical solution definition is required.
  • Use, where possible, an archived plan for basis of actual plan.
  • Carry out field checks when needed.
  • Identify task parts, activities, tools, services and equipment necessary to execute job.
  • Orders off-site services. On-site services to be coordinated by the scheduler.
  • Prepare workpack, detailing parts, services, resource, duration and cost data in CMMS.
  • Prepare Risk Assessment Method Statement (RAMS) including Permit Request.
  • Uses “quality feedback” from the Technician to optimise the WO contents and then archive job plans.
  • Maintain the Computerised Maintenance Management System (CMMS) to plan all maintenance and engineering work on the VFL site.
  • Liaise with the Maintenance Assistant and/or Procurement in optimising resource requirements for the schedule to include but not limited to parts, materials, equipment and labour.
  • Plan work to fill a “six-week schedule” making the most effective and efficient use of available resources together with making dynamic decision based on operational needs.
  • Plan On-Site and Off-Site maintenance disciplines, to ensure the optimum time to perform jobs for PM and statutory compliance and maximum efficiency are achieved consistently.
  • Liaise with Maintenance Assistant/Stores and Procurement for material/ spares and repair status until received by the maintenance department.
  • Perform data closure quality check for WO’s and ensure hours are recorded together with as found, works carried out/ repair documentation.
  • Develops and drives planning Key Performance Indicators (KPI’s) to become best in class.
  • Analyse CMMS metrics and provide reports on resource utilization.
  • Providing input into any staffing changes that may be necessary based on historical trends and forecasts.
  • Develop outage/ shutdown planned work as necessary to optimise workflow.
  • Maintain and manage weekly and monthly metrics, logs, and records to assist in KPI tracking.
  • Work closely and develop good working relationships with external support companies to deliver requirements for 24/7 operations.
  • Seek out and specify isolation envelopes to enable safe execution of work.
  • Other duties and assignments as directed by the Maintenance Manager.
  • Implementing and maintaining high standards of safety suitable for an upper tier COMAH site.
  • Drive the VMP from a planning perspective to support optimised continuous production activities and prevent loss of throughput and/or efficiency that might affect commercial profit and loss.
  • Plan for upcoming interventions and TAR’s.
  • To understand the MAPP – Major Accident Prevention Policy 
  • To comply with company Health, Safety and Environmental policies, procedures and arrangement.
  • To report all Health, Safety and Environmental accidents, incidents and near misses promptly.
  • To act in a safe and responsible manner at all times.
  • Have an awareness of the ISO management systems that the company adheres to for Occupational Health & Safety, Environmental, Energy and Quality Management (ISO 45001, ISO 14001, ISO 5001 & ISO 9001).
  • Follow company policies, procedures and arrangements to ensure compliance with the management systems for ISO 45001, ISO 14001, ISO 50001 & ISO9001.

Skills and Experience

  • NVQ Level 3 qualified in a relevant discipline.
  • Previous exposure to an upper tier COMAH site
  • Experience in Maintenance Planning.
  • Experience working with CMMS Systems (AX Dynamics preferable)
  • Ability to interpret OEM manuals, data sheets and various other drawings in order to present the required information to the technicians to enable work execution.
  • Self-driven, results orientated with a positive outlook and a clear focus on safety, high quality, and commercial success. A natural forward planner who critically assesses their own performance and the performance of the team. Maintains high personal and professional standards with high attention to detail and be able to focus on the task in hand.
